Job Description Duties: The Administrative Assistant will provide principal administrative support to a department and its management team. The Administrative Assistant will maintain responsive relationship with the day to day activities of the departmental staff, consultants and clients. These duties will require knowledge of office routine and an understanding of the organization, programs and procedures related to the work.

Duties and Responsibilities: Administrative Support 1. Provide confidential administrative support to management team. Maintains confidentiality of sensitive corporation documents and records. Calendar Management/Travel 2. Maintain complex calendar schedules for management team. Coordinate and schedule meetings and provide necessary materials. 3. Coordinates travel arrangements for management team. 4. Update and maintain weekly staff schedule. 5. Maintain scheduling calendar for conference room. Correspondence/Report Preparation 6. Create, compose, and edit correspondences, summaries and reports. 7. Review statistical reports, tracks data and provides analysis, as requested. Meeting Coordination & Support 8. Organize major meetings, including producing and distributing materials and arrange facilities. Customer Service 9. Understand, support, promote and adhere to the customer service philosophy and standards of department. 10. Interface with a wide variety of professional and community organizations on behalf of the management team. 11. Respond to a variety of telephone and written inquires and/or direct inquires to appropriate staff member for response. Fiscal Management 12. Complete expense reports and submit to the department for management team. 13. Reconcile invoices corporate credit card purchases and oversee process. 14. Coordinate fee requests and payment schedules for outside consultants. 15. Upon approval, responsible for ordering office supplies and storage room maintenance. Other duties as assigned. Supervisory/Management Responsibilities: None Communications Required: Ability to create, compose, and edit correspondence and reports. Excellent communication skills, both written and oral. Ability to work with all levels of staff within CHO and externally. Ability to work harmoniously within a culturally diverse employee population. Decision-Making Required: Problem-Solving Required: Financial Responsibilities: Handle day to day fiscal matters e.g. expense reports, ordering supplies and with approval by department manager. Knowledge, Skills, and Abilities: Ability to handle multiple tasks and prioritizes work effectively. Excellent organizational skills with attention to detail. Technical Knowledge: Excellent Productarial skills, including proficiency in Microsoft Word, Excel, PowerPoint and 10 key calculators. Ability to take and transcribe accurate minutes. Minimum Education: High School Diploma, GED, or equivalent Education Notes: Bachelor's degree in business preferred. Minimum Experience: Minimum of 3-5 years progressively

Languages: English( Speak, Read, Write )

Skills: Responsible executive assistant experience, preferably in a healthcare delivery system or a medical office. Technical Knowledge: Personal computer knowledge and skill with Microsoft Office, Excel and calendaring required Minimum typing speed of 55 wpm
