Job Description We are looking for a full time Senior Administrator with a service oriented attitude seeking long-term employment to join us and work with our client advisors, professional staff and valued clients in our Montclair Village (Oakland) office. Description of Ideal Candidate We are seeking a well-organized seasoned office professional with at least ten years of business experience, preferably in financial services, with a proven track record of success demonstrated by career progression. The ideal candidate will have experience in the wealth management sector of the financial services industry, knowledge of opening brokerage accounts, transfers, distributions and other cashiering functions, enjoy being part of a team and will thrive in our very fast-paced environment. As we are a small office, the role will include diverse projects and duties, including but not limited to, billing and accounting, and supporting the entire office in delivering excellent service to our happy clients. Frequent contact with affiliated broker-dealer corporate office staff, vendors and clients in person, by phone and email will be required. Duties and Responsibilities include but are not limited to: -- Frequent contact with clients by phone, in person and email; respond to requests for information, draft correspondence, initiate actions as appropriate -- Perform client service related duties and special projects as required -- Hands-on processing of documents and correspondence to our service providers -- Assist with production and distribution of quarterly and annual client reports, and financial planning documents -- Opening investment accounts and facilitating the transfer of client assets and distributions to clients from their accounts -- Tracking progress on all client-related processes -- Developing, organizing and maintaining electronic filing systems -- Data management; operational support for investment activity, including some data entry -- Document management including filing, scanning, copying, faxing, and handling incoming/outgoing mail -- Provide administrative support to client advisors and professional staff Executive Assistant duties as required to firm's sole owner (maintain calendar; screening of calls; travel arrangements) -- This is not a telecommuting or remote work opportunity Skills Requirements and Essential Knowledge -- Proficiency in Microsoft Office (excel, word, outlook, etc.) -- Excellent written and verbal communication abilities -- Experience working with numbers -- Analytical aptitude with thorough attention to accuracy and detail -- Flexible; able to multi-task, plan ahead, naturally goal oriented -- Self-starter; anticipation of the needs of others -- Demonstrate accountability and ownership of issues in the workplace -- Personal maturity and professional focus -- Strong ethics, anticipation, intelligence, an energetic and positive attitude -- Good humor a plus In exchange for the opportunity to be part of a company that does meaningful and fulfilling work, we offer competitive salary, 401(k) plan and profit sharing participation; employer paid medical insurance, paid vacation, and paid parking.
