Summary of Essential Job FunctionsBusiness Development--- Maintain direct contact with prospects by cold calling and driving marketing efforts with the objective of increasing client awareness of available properties ---- Identify and qualify leads, contacts, and opportunities, and dedicate an agreed amount of time to conduct cold calls and building walks--- Provide support to the team in the area of relationship management, through effective communication--- Update CRM+ to maintain contacts, leads and opportunities for the team ---- Record prospect activity daily in the CRM+ system and report leads to manager--- Act as a liaison to coordinate meetings with prospects--- Respond to general inquiriesProposals and Presentations ---- Work with Agent(s) and Brokerage Specialists to create and prepare content for CIM's and formal proposals, such as responses to RFI's and RFP's--- Work with Agent(s) and leadership on project management related to proposal development--- Assist Agent(s) with content development for listing pitches/presentations -Client/Agent Support--- Assist with on-site tours of properties with clients or prospects--- Attend various client-related events, meetings and presentations; may take notes and/or minutes, as appropriate--- Gather information packages specifically tailored to each client, which may include preparing tenant surveys, summary reports, maps, presentations, and progress reports ---- Become familiar with agents' case studies and key clients--- Work with Brokerage Specialists to gather necessary marketing materials for new listings--- Where appropriate, may provide pricing information--- Draft correspondence and client reporting for existing and prospective clients--- Execute transactions by coordinating resources and materials, including listing/ commission agreements, leases, offers and sales agreements--- Maintain records of correspondence, complete marketing update reports and client activity reportsMarket Knowledge--- Conduct market information research, when appropriate, through various sources including, but not limited to, Colliers' in-house database and third party databases such as CRM+ MLS, MPAC, RealNet, and the Internet (Note: Research team will act as secondary support to Sales Assistant for Research tasks)--- Prepares and presents results based on market research, back to Agent(s)--- Update and maintain deal and revenue forecasts. Prepare estimates for revenue projections on a monthly basis--- Updates Colliers' client information database with current property and client information--- Conduct data and financial analysis (e.g. valuations, sub-lease analysis, return on cash/equity)--- Review leases and title documents, create summaries or abstracts--- Liaise with municipalities to confirm land use designations and development services chargesTransaction Management--- Draft or edit legal documents (letters of intent, offers, commission agreements, listing agreements, Multiple Listing Service agreements)--- Assist in management and coordination of transaction and due diligence processes - sign backs, going firm, amendments, subject removals, closing documentation, deposit monies, processing trade records, entering deal sheets and submitting completed trade record and supporting paperwork to Deal Administration teamo For deals where the Sales Assistant is listed on the trade record, he or she is responsible for entering and processing the trade record via ETRGeneral--- Able to articulate Colliers' key services, including brokerage, REMS, tax assessment, lease audit, lease abstract, and project management--- Schedule appointments and set-up meetings--- Attend weekly sales meetings, industry events, and open houses--- Participate in training as directed by the Managing Director including but not limited to Colliers University programs, acceleration program assignments, book reviews, etc.--- Participate in and enhance the company's mission, purpose and core values of Service, Expertise, Community, and Fun--- Meets monthly with appointed mentor--- Other duties as requiredQualifications and Knowledge:--- Real estate license required.--- The successful candidate will have at least one year of business or office experience. ---- A post-secondary diploma or degree is preferred.--- A valid driver's license and fully insured automobile is required.--- Strong interpersonal skills - can build rapport and credibility quickly with people at all levels.--- Must be detail-oriented; possesses outstanding verbal and written communication skills.--- Possesses strong computer skills, including intermediate knowledge of Microsoft Office products such as Outlook, Word and Excel.
