GreenBiz Group is currently seeking a full-time Conference Manager to join the expanding event team as we grow our events. The Conference Manager must be able to adjust to rapidly changing circumstances and work collaboratively with a fast-moving team.

Responsibilities for the Conference Manager will include but are not limited to:

  • Updating, tracking and managing event budgets with estimates and invoices
  • Processing event contracts and ensure timing of outbound payments are met
  • Working with our conference venues on conference details
  • Supporting our volunteers and the volunteer program
  • Managing event decorators, electricians, venue and other service providers
  • Coordinating logistics around registration system both in the lead up to events and on-site
  • Building out our F&B programs, working closely with partners and venues to ensure our menus align with our sustainability initiatives
  • Overseeing hotel room block
  • Coordinating VIP and affiliate accommodations for events
  • Working with the sponsorship team to ensure deliverables are being met by the conference team, including obligations related to sponsor meals, GreenBiz Studio, Sidebar interviews, and more
  • Planning special events, including dinners, receptions, lunches, and after parties
  • Coordinating development and build out of the VERGE microgrid - obtaining the necessary permits and signatures for its operation

    Minimum qualifications:
    • BA or equivalent work experience
    • Strong attention to detail with exceptional time management, organizational and multitasking skills, practicing care in handling sensitive information
    • Strong writing skills with excellent spelling, punctuation and grammar
    • Ability to work independently with minimal guidance, demonstrating initiative, accountability and ownership of assigned tasks
    • Ability to work with internally with colleagues within and beyond the conference team, including sales and marketing, and externally with customers and partners outside of GreenBiz
    • Quick thinking, learning, and problem solving capability
    • Flexibility in a constantly evolving environment
    • Proficiency in Google Suite and generally strong computer skills. Experience with Airtable, Cvent and various virtual event platforms is strongly preferred
    • Knowledge of GreenBiz and familiarity with our website, www.greenbiz.com
    • A dynamic personality, positive and enthusiastic attitude, and a great sense of humor
