Based at: Cream Co. Meats - Oakland, CA
Job purpose:
The oversight and management of the administrative and
customer-facing side of order fulfillment at Cream Co. Propagate
all sales orders via Cream Co.'s order management software. Engage
customers to receive orders and provide exceptional customer
service daily. Troubleshoot inventory and customers to find
appropriate product substitutions when out of stock. Maintain
constant customer communication to notify updated delivery
timelines or occurrences with their order. Strong business acumen,
basic accounting skills, and the ability to reason through
ever-changing scenarios are necessary for this position. -
Key Responsibilities & Accountabilities:
- Maintain weekly Order Guide
- Manage Cream Co. order line, order email, and associated
applications -
- Correspond with customers in a formal and professional
manner
- Enter all incoming orders via Netsuite (NS) & Parity Factory
(PF)
- Enter all sales orders & pick tickets -
- Keep both systems up-to-date and in-sync, ensuring proper
backend communication between platforms -
- Interface with customers, sales, warehouse, and other
departments regarding all order related matters
- Interpret complex business documents-including customer
purchase orders, contracts, and agreements-in order to accurately
enter and manage orders according to customer requirements -
- Generate, finalize, approve, and send all invoices daily -
- Maintain up-to-date price keys in NS
- Ensure all invoices are sent by EOD with no exception -
- Work closely with Sales team to ensure all information
surrounding orders, special instructions, details, etc. are
captured and communicated to the Operations team
- Serve as a catch all for all sales activities; communicate via
phone, text, and email, Slack etc. - -
- Enter customer notes into NS and keep up-to-date records on
discussions and future arrangements discussed with customers -
- Work closely with the Bookkeeper and Credit Manager to add new
customers and maintain up-to-date customer records in NS, PF &
routing system
- Work closely with Administrative team to properly set up
customers, assign terms, credit limits, and maintain up-to-date
records in NS
- Investigate, coordinate, and resolve order issues, working
cross-functionally to resolve problems -
- Monitor order progress throughout the shipment and billing
processes -
- Be available for sales support / account management meetings
with customers when needed
- General willingness to be flexible, be available to run product
when needed

- Competent in Excel, QuickBooks, MS Word, and ability to learn
additional order management, bookkeeping, inventory control
software.

the role.
