Job Description:
Position SummaryThe Business Operations Manager (BOM) is
responsible for the management of the school's core business
functions - accounting, HR, facilities, and technology - as well as
overseeing day-to-day operations in the front office, including
maintaining pristine office space, welcoming and directing current
and prospective families, students and guests and managing family
engagement and communications. The BOM is a multi-talented leader
who maintains and optimizes school systems, owns and is accountable
for key school and campus processes like procurement and facilities
maintenance, and partners with the Director of School Operations
and School Leader to ensure our schools are well-run, fully
compliant, and financially secure, during both in-person and
virtual learning.The Business Operations Manager reports to the
Director of School Operations and works closely with the Regional
Operations, Accounting, HR, Facilities and Technology teams, the
School Operations team, and School Leadership.Preferred
QualificationsExperience:
- Deep integrity and commitment to KIPP Public Schools Northern
California's mission and values required
- 2+ years of office management, operations, accounting, human
resources, or facilities management, including working knowledge of
general office business systems and practices required
- Experience working in a fast-paced, entrepreneurial environment
requiredEducation:
- Bachelor's Degree and 2+ years of work experience or 4+ years'
work experience requiredKnowledge/skills required:
- Ability to communicate effectively with one or more of our
Spanish, Cantonese, Mandarin, or Arabic speaking populations is
essential for this position.

a virtual office environment (i.e. Zoom)Essential Functions and
ResponsibilitiesManages daily office operations
- Organize secures and maintains pristine office space and
environment for students, staff, and families
- Model, uphold and maintain a positive, nurturing,
achievement-oriented school culture by welcoming and attending to
prospective and current families and directing phone calls and
guests warmly and professionally
- Draft, translate, and distribute school correspondence and
communications - including letters, newsletters, and weekly
bulletins - and manage or support all other school-based
communications and systems (ex. MailChimp, ParentSquare).
- Partner with Director of School Operations, teachers, and staff
to plan and coordinate field trips and other student and
school-wide events, as needed
- Administer basic first aid, distributes medication, maintain
injury reports, and contacts parents regarding health and safety,
as necessary. Report major injuries, head injuries, and other
school incidents to DSO.
- Adhere to KIPP's health and safety guidelines as outlined by
the CDC, CDE, and public health agencies' recommendations.Oversees
day-to-day accounting, contracting, and vendor management
procedures
- Partner with the regional Accounting team to manage and oversee
school-wide procurement, cash receipts, deposits, and the
effective, compliant development and implementation of financial
policies, including those related to accounts receivable and
payable, budget line item management, and invoice entry and
approval.
- Partner with the Director of School Operations and School
Leader on schoolwide budget management, ensuring the school
maintains at least a break-even budget at the end of the year.
- Develop a strategy to source and select suppliers to ensure the
school meets all federal, state, and regional requirements related
to purchasing, procurement, and contracting; manage relationships
with external vendors and ensure compliance (ex. nutrition,
etc.)
- Partner with the regional Facilities team to manage all
on-campus maintenance and facilities issues, including managing
relationships with vendors responsible for maintenance, janitorial,
and pest control.Ensures compliance with all school and regional HR
policies and procedures
- Partner with the regional Human Resources team to inform and
implement human resource (HR) management policies at the school,
ensure staff have a clear understanding of HR policies and
procedures, and drive school-level compliance with relevant
employment and labor laws.
- Manage the administration of school personnel matters,
including issues related to payroll, benefits, insurances, legal
and other compliance matters, performance management, discipline,
and staff grievances, and elevate major issues to the regional HR
team when necessary.
- Assist the school team with the hiring, development, and
appraisal of non-teaching staff.
- Maintain confidential staff records in accordance with KIPP Bay
Area policies.
- Manage and oversee substitute teacher coverage, communicate
expectations to staff, secure coverage when staff is absent, and
manage substitute teachers while they are on campus.Serve as the
school-level operational lead for technology management
- Partner with the regional Technology team to ensure the ongoing
management of all staff and student technology, including laptops
and phones, and engage with external vendors to ensure the upkeep
of building technology and equipment, including copiers, printers,
and WiFi
- Be responsible for the security, monitoring, and control of
inventory and access to technology systemsManages family and
community engagement
- Coordinate family engagement activities for the school year and
summer months, including outreach and enrollment activities and
events that foster family engagement and support school
priorities
- Identify and develop partnerships with community-based
organizations, support the organization of events that welcome
community organizations to the school community, and identify
opportunities to participate in external community events
throughout the year
- Manages annual completion of school culture survey and other
family and community survey instruments
- Support activities to strengthen family engagement and
participation in the school community including managing the KIPP
Family Association and maintaining documentation of School Site
Council (SSC) and English Language Advisory Council (ELAC),
including minutes, agendas, and meeting announcements
- Supports campus volunteer opportunities including translation
coordination and event planningPhysical, Mental, and Environmental
DemandsPhysical:Ability to navigate both office and campus
environments, and hold meetings in different spaces. Traditionally,
much of the day involves sitting. Ability to access and utilize
technology. Occasional lifting/carrying of equipment up to 20
lbs.Mental:The stress of deadlines and normal work standards,
ability to analyze problems and generate alternatives, work with
interruptions, concentrate for long periods of time, read,
calculate, perform routine math problems, memorize and recall
objects and people.Environmental:Office and/or classroom
environment subject to constant interruptions and distractions.
Occasional classroom/school environment and travel. In an emergency
context, (e.g., pandemic) work may be conducted virtually fully or
partially for extended periods of time or longer, and the
expectation is that the individual will establish a productive,
remote work environment (e.g., ability to stay connected through
different technology means). It may require remote work as current
