You will be a vital member of the People & Places team: the brand ambassador and face for the company. The point person for employee engagement events & culture club. Youll ensure world class first & lasting impressions to the team, candidates and guests, while keeping the office humming along without skipping a beat. You know the drill.

    What you will do:


    • Be a fundamental culture lead through exceptional office management
    • Take the lead in culture club: own team celebrations and employee engagement events that align with our CRS strategy
    • Liaise with recruiting team and hiring managers to ensure world class candidate impressions
    • Manage the global new lease and renewal process: from sourcing sites, to negotiation, to working with our attorneys to secure the lease
    • Lead to the other US office managers to ensure consistency and quality service
    • Own the guest welcoming process: comfort, info, wifi/IT set-up etc.
    • Maintain order in the facilities: ensures conference rooms are show ready, and kitchen, lounge areas and common areas are orderly & stocked at all times
    • Maintain security of the office. Know who enters the offices and owns the issuing, entering, tracking and terminating of all access cards
    • Inventory, order, receive, stock and distribute snacks, kitchen, office supplies, swag & business cards
    • Connect vendors and arriving parcels with appropriate team members. Own mail process
    • Support the People team department with admin & EA related duties
    • Manage team pictures & announcements in HRIS and company TVs
    • Liaison with building mgmt for all things office related
    • Manage the conference rooms and People events Google calendars
    • Prepare monthly expense reports and verify facilities invoices
    • Own catering processes for the office
    • Undertake the role of Health & Safety Officer, with responsibility for an ergonomic and safe working environment, ensuring all legislation is followed and internal policies and practices are up to date and meet the needs of the business
    • Develop & maintain US based Disaster Recovery & Evacuation Plans
    • Ensure we take an ergonomic approach to designing workspaces, managing risk assessments, and taking an active role in managing the workspaces of those who are deemed to be high risk
    • Take the lead on all office redesigns & desk moves - has the final decision on how/when/etc these proceed, after obtaining approval for budgetary spend
    • Schedule appointments and conference rooms in Google calendar.



      QualificationsThe foundation we are looking for:


      • Bachelor's degree preferred with 3-5+ years of office management/facilities experience
      • Great written and verbal communication skills with client focus etiquette
      • Excellent organizational skills, with an attention to detail
      • Proficiency with Google Suite & Microsoft Office
      • Ability to prioritize, problem solve, manage time effectively and work with minimal supervision
      • Positive and enthusiastic attitude with the ability to adapt to changing project demands
      • Mature, polished and professional presence and disposition, punctual, dependable and reliable
      • Ability to maintain confidentiality and interface with all levels of personnel
      • Self-starter and problem solver
      • Results driven
