Job Description:

Seeking a resourceful, productive, and design-oriented Property Manager to support San Francisco family with multiples homes in the Bay Area. This person will effectively become the CEO of the familys homes. All service providers and staff across the familys homes will report to the Property Manager. The Property Manager will be responsible for managing and directing the work of all service providers, ensuring work is being completed, and reviewing contracts and bills, and authorizing payments. Property Manager will also be responsible for maintaining and improving the organization and aesthetics of the homes. The family youd be working with is very easy-going. They have two young children and are generally fairly busy with work and taking care of the kids and need a strong management partner who can take on all household responsibilities, independently delivering organizational and creative outcomes. Frequent travel to familys homes in San Francisco and Marin County required. Duties shall include, but are not limited too: General organization and maintenance, coordinate personal and financial household matters Ensure all residences are clean, organized, beautiful, and stocked with necessary supplies Create and maintain central family calendar sharing all family activities, service provider activities, and major changes at homes Bill pay and project expense tracking for active projects Approve and authorize payments to service providers with accounting office Review regular monthly accounting statements and confirm bills and services match expectations Collect and sort mail, coordinating delivery of materials to family members, accountants, and work office, as needed Coordinate with childcare service providers as needed Confirm via family calendar that all support needs are met Source, organize, and oversee home service providers including but not limited to housekeeper(s), groundskeeper, gardner(s), chef(s), and others as needed Provide regular updates on activities and performance to family Integrate needs and feedback from family to ensure changes are made with providers Ensure a meal schedule is met by onsite chefs or delivered meals Coordinate vendors, invitations, guest lists, and execution of special events Managing remodel and design projects Light design work, including sourcing and purchasing furnishings and decor Arrange, organize, and install furniture, art, and decor Floral design and coordination, as needed Sourcing service providers and contractors for maintenance and repairs Contract and pricing negotiation with contractors Manage contractors through to completion, ensuring on-time and on-budget execution Oversee construction project at new primary residence and respond to needs of head architect and general contractor Requirements: 4+ years experience in either: interior design services, hospitality services/management, other creative service project management, or personal assistant / household manager with a high-profile family Resourceful, well organized, detail oriented, and have strong follow-through when working with vendors and service providers; proven track record of successful project management Quick and efficient - can easily organize and prioritize; adept at using Google Sheets and Calendar to help organize and track activities and project manage Can define and manage a budget Capable of reviewing contracts and bills across large projects Strong communication, management, and negotiation skills Ability to establish effective processes to improve efficiency of household Good design aesthetics and ability to set a room Self-directed and can work well autonomously Passionate, sharp and driven to succeed Demonstrated ability to handle confidential matters with tact and discretion Manages up with warmth and creativity Ability to work nontraditional hours in nontraditional settings and availability to be on-call for after hours emergencies Fun and happy :) Job Type: Full-time weekday with varied hours but generally 40-50 hours per week and occasional weekend support (flexible) Salaried based on experience Vacation, time-off as needed
