Title: Accounting & Human Resources Manager Reports to: Chief Executive Officer and Finance Director Employment Type: Part-Time (30 Hours)/ or Full-time (40 Hours) Exempt Position Location: Oakland The California League of Conservation Voters (CLCV), a 501(c)4 organization, is the political arm of California's environmental community. POSITION DESCRIPTION: The Accounting & Human Resources Manager will be responsible for the day-to-day accounting, bookkeeping, and HR operations for CLCV- a 501 (c) 4 political advocacy organization and CLCV Education Fund- a 501 (c) 3 educational nonprofit organization. Primary duties include accounts payable, accounts receivables, payroll, cash management, general ledger/bookkeeping, Political Action Committee (PAC) accounting/reporting, and other general accounting duties. The Accounting & HR Manager also assist with the management of CLCV's accounting policies and procedures, helps to ensure financial accuracy in accordance with Generally Accepted Accounting Principles (GAAP), and adherence to tax regulations. This position will also be responsible for all Human Resources responsibilities, including onboarding, orientation, and administration of benefits. PRIMARY RESPONSIBILITIES: Accounts Payable/Accounts Receivables: --- Process vendor invoices and employee/contractor expense reports and codes accounting distributions as necessary. --- Checks all items for mathematical accuracy. --- Routes items for approval according to organizational accounting procedures. --- Process approved items for check signing on a weekly basis. --- Facilitate 1099 maintenance. --- Interface with the Membership and Development departments to ensure accurate processing of donor revenue into QuickBooks. --- Work closely with Office Manager and Development Assistant for processing weekly bank deposits. --- Maintain and disseminate weekly 6-month cash flow projection report to upper management. --- PAC accounting/reporting. --- Liaison with external PAC treasurer and attorneys. Payroll: --- Responsible for the preparation and processing of bi-weekly payroll for 10-15 employees. --- Process employee timesheets, reviewing coding and approval. --- Inputs/adjusts hours to Paylocity for payment. --- Responsible for new employee set-up and other salary/level changes in both Paylocity and other systems. --- Coordinate the set up of employee direct deposits. --- Process manual payroll checks as necessary. General Accounting: --- Performs monthly close of accounting records in cooperation with external accountant, and supervise monthly bank reconciliation. --- Helps ensure compliance with GAAP, organization policies, and federal/state tax requirements. --- Assists upper management in the annual budget planning and mid-year forecasting processes. --- Assists upper management in monthly revenue and expense variance analysis (from budget and prior year). --- Assists upper management and Education Fund Development staff in providing allocation of individual grant funds for final grant reports. --- Provides support for and assists upper management in the annual audit process and preparation of the annual 990 tax return. --- Monitors temporary restricted grant funds and stays in regular communication with program staff on expenses and releases in a timely fashion. --- Maintains all files for accounts payable, accounts receivables, income, and PAC deposits & disbursements. --- Maintains the Chart of Accounts. --- Assists in maintaining and updating accounting policies and procedures. --- Maintains strong lines of communication with other departments. Human Resources Administration: --- Coordinate and manage benefits administration, particularly during the Open Enrollment process. --- Maintain 401k account and submit disbursements within due dates. --- Performs Commuter Checks administration. --- Maintains staff floating holidays spreadsheet. --- Monitors staff paid time off accrual. --- Acts as the liaison with all benefit administrators and vendors. --- Responsible for new employee on boarding and orientation. --- Performs special projects and other duties as assigned by the Executive Director. REQUIRED QUALIFICATIONS: --- Bachelor's degree from an accredited university or equivalent experience --- 3+ years of accounting experience, preferably in a nonprofit setting --- Knowledge of GAAP --- Knowledge of QuickBooks, Sage, NetSuite, Oracle, or other Accounting equivalent. --- Experience using Paylocity or an equivalent payroll processing database --- Highly organized with strong attention to detail --- Accurate data entry skills --- Ability to thrive in a fast-paced environment --- Self-starter --- Flexibility and the ability to manage multiple projects --- Excellent verbal and written communication skills --- Ability to follow through on projects --- Thorough understanding of the accounting software and how to run reports and/or retrieve data --- Must be able to interact effectively with people on all levels of the organization --- Ability to maintain confidentiality of sensitive information DESIRED QUALIFICIATIONS: --- Experience with nonprofit accounting (501 (c) 4 and/or 501 (c) 3) --- Knowledge of Raiser's Edge database --- Experience with Human Resources administration --- Experience with PAC accounting and reporting --- Commitment to the mission of CLCV and CLCVEF COMPENSATION & BENEFITS: CLCV offers competitive salaries and a generous benefits package, including medical, dental, vision, and disability coverage; a 401(k) retirement program with employer match; discounted pre-tax Commuter Checks for public transit; flexible spending account (FSA) for health care expenses; paid vacation, personal time, and floating holidays; optional life insurance; and employee assistance and travel assistance programs.
