Under general supervision of Vice President of Student Services, performs clerical and technical work in providing quasi-administrative and technical support in the Student Success /Counseling.

Duties & Responsibilities

To perform this job successfully, an individual must be able to perform each essential duty of the position satisfactorily. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions required for the position.

* Performs a wide range of clerical, technical, personnel and budgetary control duties related to the operations of the Counseling Department, Student Services Division. * Prepares all student personnel action requests and changes of assignment; computes and enters all faculty assignments and changes in the district's online system; * Reviews and codes hourly student employee time sheets and monitors maximum allowable time worked. * Assists in the development, implementation and maintenance of budget expenditures for the department, including budget transfers, adjustments, requisitions, and warehouse supply orders. * Manage the Counseling reception desk, prioritize student issues and transfer to the appropriate department/area. * Schedules appointments with Counselors for students regarding a variety of department related counseling and academic issues, including but not limited to, Student Education Plans (SEP), Transfers, AA/AS degrees and certificates, etc. * Maintains records for Student Education Plans, Official transcripts, Prerequisite clearance request, Advance Placements, etc. * Offers technical support to students, e.g., help students access Passport, assist student search for classes online * Prepares and calculates contract and hourly Academic assignments. * Assists in creating a variety of documents, including personnel action forms. spreadsheets, reports, databases and other department related information. * Liaison between the Counseling Department and other internal and external groups. * Contacts vendors, obtains vendor application information and submits to District for processing. * Use a variety of computer software to produce technical reports and manage department data/records * Recommends ways computer technology or other work methods can improve workflow efficiency and quality of services to students. * Provides information in person or by telephone, where judgment, common knowledge and interpretation of policies and regulations are necessary. * Assists the Vice President in responding to inquiries and requests for information from students in the area of counseling and academic advisement; may include information relating to faculty and staff concerning financial aid, orientation, assessment, outreach, admissions, counseling, student health and student life programs, transfer and career attainment services. * Greets visitors to the department, answers the telephone, and assists students, faculty, staff or the general public in providing information or assistance as required; receives student complaints including recording intake information, providing students information on the process steps, provides form(s) and instructions on completion of forms. * Receives, opens, and distributes the mail; refers matters to the Counselors and Vice President in order of priority; establishes and maintains a complex interrelated filing system and responds to inquiries for information about the college and its programs. * Schedules meetings and conferences, sets up appointments, and may represent the Counseling Department at meetings to obtain information relevant to counseling and academic advisement. * May take and transcribe minutes for the Counseling Department meetings. * Assists Student Services with various annual events and ceremonies. * May train other classified; coordinates, trains, and supervises student employees working at the Counseling reception desk to ensure service consistency. * Performs other duties as assigned.

Minimum Qualifications

1. Three years of clerical and technical experience in the appropriate field or any combination of training and experience that could likely provide the desired knowledge and abilities.

2. Knowledge and proficiency in the operation and use of personal computers utilizing word processing, spreadsheet, and database management software programs (e.g., MS Office Suite- Word, Excel, Access, and PowerPoint), the internet, and e-mail.

3. Applicant must have demonstrated cultural competency, sensitivity to and understanding of the diverse academic, socioeconomic, cultural, disability, and ethnic backgrounds of community college staff, faculty, and students.

Desirable Qualifications

Knowledge of:

* Concepts, techniques, procedures, and other guidelines applicable to the designated area of specialization * Administrative and office procedures and practices * Basic research and analytical methods * Proper English usage, grammar, and punctuation * Standard office equipment

Ability to:

* Perform a variety of difficult technical and clerical work related to the designated area of specialization * Establish and maintain cooperative relationships with those contacted in the course of work * Analyze situations and make decisions in procedural matters without immediate supervision * Speak and write effectively * Learn rapidly a variety of rules and procedures relating to the assigned area of responsibility * Train and supervise clerical and student personnel * Prepare and maintain accurate and complete records and reports
