JOB DESCRIPTIONMARCH 2021ADMINISTRATIVE COORDINATORELLA BAKER CENTER FOR HUMAN RIGHTSOAKLAND, CAORGANIZATIONAL BACKGROUNDThe Ella Baker Center for Human Rights is a nonprofit organization based in Oakland, California working to advance racial and economic justice to ensure dignity and opportunity for low-income people and people of color. In our 24-year history, we have worked on issues including jump-starting the green jobs movement, promoting civic engagement, violence prevention through youth leadership, and transforming juvenile justice systems in California. We are currently working to end mass incarceration and mass criminalization in the United States through Truth and Reinvestmentmoving resources away from failed criminal justice policies and into creating opportunities, also known as books not bars, jobs not jails, healthcare not handcuffs. In addition, our programmatic efforts are strong and growing, with the organization sponsoring four bills in Sacramento, building on our success in Alameda County, and working with partners across the country to build a movement to end mass incarceration.POSITION SUMMARYThe Administrative Coordinator will be responsible for supporting key finance, HR and operational activities in the organization.Flexibility, an interest and willingness to work on an array of projects is key, all involving solid computer and project management skills and an attention to detail.This position is within the Administrative Team and will be a valued member of the department. You will be working directly with the Finance Manager and HR general, the role is focused on supporting all finance and administrative functions in collaboration with the Director of Administration and Finance, Development Director, and HR/Operations Manager, and other tasks related to programs, operations and administration.This is a full-time non-exempt union position. This position requires the ability to work within an office building setting. Currently the position will be on site up to 75% of the time, with the opportunity to work remotely 25% of the time during COVID restrictions.PRIMARY ROLES AND RESPONSIBILITIESGeneral Office DutiesManages and answers phones; routes calls and messages to appropriate departments.Coordinate meetings using email system, calendar for staff meetings, monitor building access and coordinates deliveries.Ensures all office equipment is functioning and coordinates maintenance and service with vendors as appropriate.Ensures office supplies are stocked and responsible for ordering supplies across departments.Supports special projects and tasks as needed.Support with day to day operations of the office/building as needed.Program SupportOversees all communications including mail, phone and email inquiries.Working in conjunction with all departments to manage requests for information either via email or mail.Supports the ongoing processes of our internship program, which will include mailing out materials, office supplies, and welcome packets.Assists with ongoing staff wellness programs which includes: organizing in-person gatherings, year-end retreat planning, and coordinating calendar for team building and wellness events.Acts as a liaison between Ella Baker Center volunteers, visitors and HR Manager.Ensures organizational upkeep of IT, phones and technical services.Active participation in supporting community events.AdministrativeWorks with the finance team to respond to incoming bills.Prepares outgoing mail for the finance team.Assist when needed to prepare acknowledgment letters or special event mailing for various departments.Provides meeting support for all departments including scheduling, creating agendas, preparing materials, and catering.Assist with facilitating our return-to-work schedule.Uphold and mirror safety standards.Utilize the office capacity calendar, and monitor the upkeep of the communal office space.REQUIRED QUALIFICATIONS AND SKILLSMinimum of 3-4 years of experience working as an executive assistant or other administrative support roles.Excellent organizational skills with an ability to think proactively and prioritize work and complete assignments under deadlines.Strong communication skills (via phone, email and in-person).Detail orientated.Familiarity with cloud-based calendar systems (Google Calendar preferred).Experience with Microsoft Office and Google Suite.History of working collaboratively with stakeholders, volunteers, and coworkers while exercising individual leadership in meeting core job responsibilities.Ability to exercise discretion and confidentiality with sensitive information.Ability to sit at a computer station for a long period of time.Ability to lift a minimum of 25lbs.High School Diploma or GED required.Proven commitment to racial, economic, and gender justice.PREFERRED QUALIFICATIONS AND SKILLSFamiliarity with the criminal justice landscape in California and/or the San Francisco Bay Area.Bilingual Spanish and English a PLUS.Possess a professional demeanor, poise under pressure with strong attention to detail, and well-developed time management skills.Respects and has knowledge of cultures, ethnicity, gender, sexual orientations and age groups other than ones own, able to work effectively with all.EVERYONE WELCOMEElla Baker Center is an equal opportunity employer.
