Job Description/Summary: The Management Coordinator, PBX is an integral part of the development and promotion of the changes at Benioff Children#s Hospital Oakland. This is supervisory and administrative work in a Telecommunication Operations environment. Work involves planning and implementing the procedures involved in the operation of the PBX switchboard; scheduling and directing the daily activities of the switchboard operators; and maintaining standards of speed and accuracy.# Essential Functions: Supports the Manager of Telecommunications in the development and implementation of the strategic plan and vision for the division consistent with the Hospital#s objectives. Develops and maintains effective levels of communication with operating departments. Reviews and approves departmental schedules and payroll needs to effectively control labor costs and ensure optimal productivity. Daily contact with outside vendors: determines necessity for equipment reviews all contracts dealing with purchasing of equipment, prepares contract proposals. Assists in the development and monitoring of PBX operations, budgets, accounts payable and monthly financial statements.Develops training and procedural manuals and training programs; develops and trains staff to perform routine and complex tasks involving the operation of a switchboard. Confers with administrative personnel concerning traffic patterns and problems affecting the desired level of service. Ensures the implementation and measurement of guest service and quality standards within the department and facility. Trains new personnel concerning purpose and use of all equipment and related computer programs. Implements departmental and hospital policies, procedures and regulations. Additional Responsibilities: Supervisory/Management Responsibilities: Supervises the entire PBX staff, and assists the Manager as needed.# Communications Required: Excellent verbal and written communication skills. Must be able to lead a classroom experience, and communicate with patients, visitors, staff, and Administration.# Ability to speak clearly in a well-modulated and pleasant voice. Decision-Making Required:# Ability to work efficiently and accurately under pressure.# Ability to plan, direct, and evaluate the work of subordinate switchboard operators. Problem-Solving Required: Ability to comprehend when to obtain assistance in difficult situations. Other duties as assigned Financial Responsibilities:# Assist Telecommunication manager with operating/capital budget planning, view monthly phone bills for accuracy, track employee labor cost. Knowledge, Skills, and Abilities: Knowledge of the procedures and practices applied to the operation of a telecommunication center. Ability to speak clearly in a well-modulated and pleasant voice. Knowledge of the principles and practices of supervision. Ability to work efficiently and accurately under pressure.# Ability to plan, direct, and evaluate the work of subordinate switchboard operators. Technical Knowledge:# Has technical and analytical skills with the ability to read and prepare various reports and diagrams. Excellent knowledge of Microsoft suite (Word, Excel, PowerPoint, Access). Knowledge of computer use.# Minimum Education: High school diploma required. Associates Degree preferred. Minimum Experience:# At least 2 years of experience in a PBX supervisory position preferred. Independent work experience in switchboard operation and leadership ability at the lead work level.# License Required: N/A Physical Requirements: Sit: Up to 8 hours/day Stand/Walk: 3-6 hours Bend/Stoop: Up to 3 hours Reach: Up to 3 hours Rep Use of UE/Grasp: Up to 8 hrs Lift/Push/Pull: 25 lbs This job requires the ability to hear alarms clients and/or instruction.
